We are currently seeking an exceptional admin to oversee a diverse range of responsibilities.
- Answering and Directing Phone Calls: Front office admins handle incoming phone calls, routing them to the appropriate individuals or departments within the organization. They may also take messages and
- Provide basic information to Callers.
- Managing Incoming and Outgoing Mail: They receive, sort, and distribute incoming mail, packages, and deliveries. They also prepare outgoing mail and packages, ensuring they are correctly labeled and sent to the appropriate recipients.
- Providing General Administrative Support: They perform various administrative tasks, such as data entry, filing, photocopying, scanning, and maintaining office supplies.
- Input data for Food and Beverage departments.
- Input data reservation information into the booking calendar
- Managing Office Equipment: They oversee the maintenance and repair of office equipment, such as printers, photocopiers, and fax machines. They may also coordinate service calls and replenish supplies as needed.
- Printing (collateral) - netflix card, guest welcome cards, guest satisfaction cards, wifi cards, menu folder for food and beverage, menu directory
- Update data check in- check out, in house on the board and also the notes from guests.
- Check the villa during the guest check in such as the set up of the villa, equipment, amenities bedroom and bathroom, cleanliness etc .
- Check the status of the villa availability, in house, out of order (if there is some project) and inform the butler.
- Handling Inquiries and Complaints: Front office admins often handle inquiries and complaints from clients, customers, or visitors. They listen to concerns, gather information, and work towards resolving issues or redirecting them to the appropriate channels for further assistance.
- Updating and Maintaining Contact Databases: Front office admins may be responsible for updating and maintaining contact databases, including client information, employee directories, and vendor contacts.
- This ensures accurate and up-to-date records.
- Continuous Learning and Skill Development: Front office admins should stay updated with relevant skills, such as customer service techniques, office software proficiency, and communication skills, to excel in their role. They may attend training sessions or seek professional development opportunities.
Fluency in English is a must, therefore, an indispensable requirement. We seek a candidate who is highly productive, efficient, fast and adept at expeditiously completing tasks.
Marketing initiatives will also fall within the purview of the guest relations coordinator's responsibilities. We welcome candidates with a genuine interest in expanding their horizons within the marketing field. Working alongside our marketing team, candidates will have the opportunity to grow, learn, and actively participate in stimulating on-site marketing activities. These may encompass creating captivating content for social media, and engaging with our esteemed VIPs, celebrities, and influential figures, as well as influencers.
An affinity for design is necessary to assist in crafting certain elements using tools such as Canva.
